If your project receives Screen Flanders support, you are obliged to mention this in press releases, use the Screen Flanders logo and supply promotional materials.
Below you can consult an overview of the required deliverables, the correct mention for all communications as well as the Screen Flanders logo.

Deliverables

If a master copy of the audiovisual work is produced, the following deliverables need to be delivered to Screen Flanders. Delivered set pictures, stills and artwork need to be free of rights.

The following list only applies to the Screen Flanders Economic Fund. If a project is also supported by the Flanders Audiovisual Fund (VAF), a separate set of deliverables complying with the VAF regulations needs to be delivered.

Deliverables: During the production process

  • As soon as available during filming: eight (8) professionally taken set photos in colour, five (5) of which focus on behind-the-scenes talent where the technical crew, heads of departments and/or activity on set or Flemish locations are clearly visible, and three (3) where the director and main characters are clearly visible, all eight to be delivered electronically in a print-ready format of 300dpi or higher.
    In the case of animation projects: three (3) set photos of the creative process in the animation studio, if available.
  • In the last week of the shoot: An English synopsis (150 to 250 words) and a production form to be filled out on the MY VAF platform. This production form also comprises a Dutch and English synopsis (150 to 250 words) as well as a French one (if available).

Deliverables: After the post-production process

Screen Flanders has the right to use the materials listed below in its own communication from the moment they have been made public by the producer.

  • A complete and varied set of at least eight (8) professionally made stills in colour (unless the end result is in black/white), which gives a broad overview of the main scenes and characters of the audiovisual work as well as some additional mood scenes. To be delivered digitally in print quality (300 dpi or higher), at the latest on the day of the first press screening of the audiovisual work (in Belgium or elsewhere).

  • A visual of the international poster, to be submitted electronically as jp(e)g or png, for use on the Screen Flanders website in the supported projects section.

  • The international poster design, delivered digitally as an open file (layered Photoshop file with the images, fonts and links) in print quality (300 dpi or higher) and as a high-resolution PDF file. To be delivered at the latest on the day of the first press screening of the audiovisual work (in Belgium or elsewhere). When no international poster is available, the Belgian poster needs to be delivered in the above-mentioned formats.

  • The final press kit including a full cast and crew list, to be delivered digitally at the latest on the day of the first press screening of the audiovisual work (in Belgium or elsewhere).
  • The international trailer subtitled in English (unless the audiovisual work is in English), the unsubtitled national trailer, and if produced, the teasers of the production, without timecodes, ©-mentions or other on-screen mentions. To be delivered digitally as an .mp4 file, at the latest on the day of the world premiere of the audiovisual work.

  • Making-of video material in .mp4 format, if available. If additional behind-the-scenes footage was shot for social media, the producer provides it to Screen Flanders to use in their promotional edits to promote the Flemish audiovisual sector.

  • A digital mp4 file of the complete final version of the production, subtitled in English (unless the production is in English). To be uploaded by FTP server at the latest on the day of the world premiere of the audiovisual work. The file can only be uploaded via the personalised FTP account set up by Screen Flanders. File sharing systems such as Vimeo, WeTransfer and others are not allowed. This file is an archive copy, which will only be used internally and won’t be accessible for third parties.

  • Two (2) copies of the rental and/or sell-through versions of the DVD or Blu-ray as well as all other existing and future commercially available formats of the audiovisual work. To be delivered as soon as they are available in retail.

  • Two (2) physical copies of the soundtrack if released commercially.

communication: Mandatory credits and logos

The support of Screen Flanders (logo/statement) must be explicitly credited in the audiovisual work’s titles and all promotional and publicity material and/or publications and/or informative material (including press kits and releases) paid for by the (co-)producers and related to the audiovisual work, irrespective of the language used, the territory of distribution or the form (printed material, electronic). This applies to the exploitation of the audiovisual work in cinemas or through any other channel (DVD, etc.).

You must mention the support from Screen Flanders in all press releases about the supported project. This can be done in various ways:

This production was made with the support of the Screen Flanders Economic Fund, an initiative under the authority of the Flemish Ministers of Economy and Culture.

Press releases must always be submitted to Screen Flanders for a final check (Katrien De Hauwere). If several language or regional versions exist, each must be submitted for a final check.

Communication: Opening & end credits

  • More specifically, the opening credits must state “Supported by Screen Flanders” in a prominent and legible manner, in a point size at least equal to those used to name (co-)producer(s) and/or co-financiers that have made a similar financial contribution.
  • End credits must state:

‘Supported by Screen Flanders, an initiative of VLAIO in collaboration with VAF.’

Other languages?

‘Met de steun van Screen Flanders, een initiatief van VLAIO in samenwerking met het VAF.’

‘Avec le soutien de Screen Flanders, une initiative du VLAIO en coopération avec le VAF.’

or an analogous statement in the language of the credits

  • The Screen Flanders logo must also be inserted in the credits, in a prominent and legible manner, of least equal size as the logos for (co-)producer(s) and/or co-financiers that have made a similar financial contribution. If no logos are to be integrated in the credits, this stipulation does not apply and the text statement will suffice.

Opening and end credits must always be submitted to Screen Flanders for a final check (email hidden; JavaScript is required). If several language or regional versions exist, each must be submitted for a final check.
