NATURE OF THE DATA

Within the framework of the Screen Flanders support measure, the Vlaams Audiovisueel Fonds (VAF) and the Agentschap Innoveren & Ondernemen (VLAIO) collect all kinds of information in connection with received applications for assistance, or in relation to the audiovisual sector. This concerns contact information such as name, address, e-mail address and telephone number. We keep publicly available information about companies such as the CBE number, business address, year of incorporation and contact details. This data may be combined with information from application files. Financial data is stored at the level of the application and will only be linked to personal data for the purposes of making a payment.

PURPOSES

We do not collect or use information for purposes other than the purposes described in this privacy policy, unless we have obtained your permission in advance.

Provision of assistance

Providing support to actors within the audiovisual sector is one of Screen Flanders' core tasks. All information that reaches us in this context, will be used to meet this objective. When external experts or board members assess the applications, they are given access to the available information in order to facilitate their task.

Publication on the website

If a submitted support application is assessed positively, it will be communicated on our website on the basis of a number of criteria. The publication may be communicated via one of Screen Flanders's communication channels. This publication is always made without mention of contact details, but it does specify the main stakeholders of a support award by name and surname.

Reporting to third parties

The data submitted via one of our services may be used in the context of fulfilling reporting obligations, including the publication of the annual report, to which the Vlaams Audiovisueel Fonds (VAF) and the Agentschap Innoveren & Ondernemen (VLAIO) are subject. It will be considered on a case by case basis which information is strictly necessary to meet the reporting obligation. Contact details are not part of this.

Research and knowledge exchange

One of the objectives of the Vlaams Audiovisueel Fonds (VAF) is to strengthen the audiovisual, and by extension cultural, sector through research and knowledge exchange. The data collected via one of our services may be used for this purpose, on an anonymous basis. The Vlaams Audiovisueel Fonds (VAF) will always limit this information to what is strictly necessary. Contact details are not part of this.

THIRD PARTIES

Information is not shared with third parties unless it is to meet the defined purposes. In some cases, the information may be shared internally. Our employees are required to respect the confidentiality of your data. Third parties are understood as meaning anyone who is not employed by the Vlaams Audiovisueel Fonds (VAF) and the Agentschap Innoveren & Ondernemen (VLAIO), or who is not part of the VAF Board of Directors.

RETENTION POLICY

All information regarding an application for assistance is kept indefinitely. This applies to all applications starting from the intention to start an application. E-mail correspondence is kept for 50 years.

Security of sensitive information is ensured through encryption.

Storage

The storage of privacy-sensitive information is done at 2 locations:

All connections and transfers of information to and from these locations are secured by means of encryption that meets industry standards. The connection to and from the Microsoft data centres is always done by means of Multi-Factor Authentication.

Data loss

In the event of data loss, the source of the leak is first found and closed. Thanks to the central management of users and permissions, this can be done quickly and efficiently.
